You will be responsible for assisting project managers within teams managing the information flow of drawings and documentation on various projects. You will also undertake reception and general administrative tasks as necessary. Part time working may be considered for this role.

- Proactively engaging with teams to lead the provision of a professional, efficient administrative service across the office and ensuring activities for Clients, Bids and Projects, take priority. • Coordinating internal/external meetings and events with other parties as required; • Providing suitable cover of reception duties as required. • Assisting team members with straightforward software and process enquiries; • Liaising with the wider WSP administration teams as necessary; • Assisting with the production of marketing material, proposal documents and presentations; • Responsibility for typing specifications, reports, bids and other ad-hoc typing as required; • Providing support for other ad/hoc duties within the team/office as and when required; • Managing and controlling the drawings, specifications and design information between the project team and external parties, ensuring that the latest revisions are administered and distributed promptly • Coordinating all activities related to the document control procedure, including technical documents, drawings, and commercial correspondence • Carrying out routine document management administrative tasks including document release and publishing, technical query handling, transmittals, filing, copying and local library management • Establishment and maintenance of central site files, drawings and registers • Taking responsibility for document exchange (incoming and outgoing information which may include reports and drawings) • Dealing with technical team leaders to ensure that they meet the requirements of the document control systems; • Working closely with BIM Coordinator and Design Coordinator
- Good knowledge of Microsoft Office • Good attention to detail • A professional, confident manner • The ability to work well under pressure and are self-reliant • Experience of working in a team environment and ability to build effective working relationships • Proven ability to communicate openly, proactively sharing knowledge • Experience of working with multi-discipline teams across several locations • Experience of working with document control systems, such as Project Wise, is desirable • Evidence of attainment of relevant SVQ’s would be desirable
