The job opportunity:
To provide support (administrative) activities that facilitate the smooth running of the projects and business, providing a high quality service to customers (both internal & external) through administrative and IT related tasks.
Ensure a high standard of service is delivered by continually seeking to improve services and by making a positive contribution to the professionalism of the team.
Administration support to Waterlooville site across all projects including assistance to the configuration, security departments and Project Managers.
Managing the bookings for the meeting rooms, organising and arranging meetings for staff, including arranging refreshments and buffets.
Providing ad-hoc administrative support to the management team, including diary management, completing expenses, arranging training and travel.
Preparing presentations and reports on behalf of the management team using data they have provided.
Maintain filing systems and key documentation, as required.
Purchasing; via SAP, allocating spend to WBS and overhead codes and uploading receipts online.
Maintain documents, update the document database and carry out configuration control of all internal and external documents under the supervision of the Configuration and Data Manager.
Microsoft Dynamics data entry & reporting.
Coordination of Learning and Development for staff on site, booking courses, raising POs and collecting feedback.
Ensuring communications are appropriately cascaded as directed using various methods such as newsletters, comms screen, posters and site-wide emails.
Managing supplier invoices and processing for prompt payment;
Resolving any vendor queries as and when they arise.
Managing month end financial reporting, which includes;
Preparing overtime and absence/sickness reports for all colleagues at the Waterlooville site.
Project finance reporting.
Purchasing materials and/or services using our in-house stock ordering system.
Internal training will be provided for internal systems.
What we are looking for in our candidates:
Good all round education, specifically English and Maths.
Management of own workload and tasking including prioritisation of daily tasks.
Excellent working knowledge of IT applications, including but not limited to; Microsoft Office, Word, PowerPoint, Visio, Publisher, Excel and Outlook.
Being able to co-ordinate and complete tasks on time achieving deadline and key milestones where required.
Being able to adapt workload and priorities according to business needs.
A good level of financial awareness, including maintaining spreadsheets of company spend, paying invoices, allocation of receipts to cost codes and negotiating price.
Must be able to communicate confidently on several levels from Directors and Senior Managers to Engineers and Customers.
Certification in Microsoft Office products e.g. Word, Excel.
Knowledge of Microsoft Publisher.
Writing skills, when preparing communications for cascade.
Basic training in the use of SAP.
Basic training in the use of Microsoft Dynamics.
SC Clearance would be advantageous but is not essential.
Ability to occasionally be flexible with regards to working hours.
