We are looking for a Customer Service Administrator to join our Business Support Department in Belfast. This is an interesting and varied role which will provide administration support for Arjo Customer Service teams including Rental and Service departments.
To handle inbound telephone calls and any customer correspondence and deal with accordingly to ensure a swift and effective service is provided to our customers
To prepare and dispatch Quotations and to review outstanding quotations, and on acceptance/rejection process update accordingly to ensure all work is up to date.
To organise daily working schedules for Service engineers, and allocate service/repair calls appropriately to ensure the most cost effective and appropriate use of resource
To process Engineers Work Reports and produce corresponding invoices to ensure the prompt payment for work done. Scanning all invoices & emailing out to the customer.
To maintain regular contact with service engineers regarding daily work activity, location, and job status.
To review incomplete work with engineers on regular basis to ensure that work is rescheduled in order to provide the customer with the best possible service delivery
To provide administration assistance and cover where required within the department and to field staff and maintain relevant support documentation
To liaise with customers, engineers and other relevant parties over delays, problems, or queries to ensure that communication regarding the status of service work is maintained
To produce adhoc reports from legacy systems for both internal & external use
To update & maintain spreadsheets for customer data
Take full ownership of customer complaints.
Take full ownership for credits & returns
Updating of CRM system
We are looking for applicants to have previous administration experience within a customer-orientated environment and knowledge of SAP. You should possess a professional telephone manner and strong interpersonal skills, which will enable you to communicate effectively with people at all levels of our organisation. You must have good IT skills, proficient in the use of MS Office and able to pick up new IT systems easily. Accuracy, attention to detail and initiative are key.
